IWMS Lifecycle : 4 + 1 phases for a healthy IWMS

Like most technologies, IWMS go through the following 5 lifecycle stages, which should be understood in order to successfully complete them.

Four of these stages are consecutive and normal in the lifecycle of an IWMS:

1. establishing its roadmap,

2. selecting the IWMS best suited to your needs,

3. implementing an IWMS,

4. maintaining your IWMS at the top through continuous improvements.

An additional step is to be activated as soon as the life cycle of the IWMS seems to be disrupted:

Properly monitoring your IWMS Lifecycle ensures that your SMEs always have the most effective tool available to manage the real estate they are responsible for.

1. CRE Technology Roadmap

A CRE Technology Roadmap consists of an analysis with your CRE and IT teams of the tools currently in place in your organization, and their evaluation along several axes. This analysis allows you to evaluate which of these tools are adapted to your needs and which ones need to be replaced. A roadmap is then prioritized on a plan of usually between 3 to 5 years.

At the end of the period, organizations often find themselves with 50 to 65% fewer applications, due to a concentration on a few operational systems and the elimination of all unsatisfactory tools. Such rationalization always results in savings both in support and operational efficiency.

2. IWMS Solution Selection

An IWMS Solution Selection is a very important stage in the life cycle of an IWMS, as it has the greatest impact both on future costs and on the suitability of the solution for your needs.

An IWMS Solution Selection crosses both internal data (needs and processes) and external data (market data, evaluations of available tools, Green / Magic Quadrants). The combination of these data allows us to establish a shortlist of potential candidates, which will then be analyzed in greater depth (demos). Finally, a RFP process will be used to rank the 2 or 3 favorites.

At the end of an IWMS Solution Selection, you can be assured that you have chosen your next IWMS professionally, which in turn will minimize both the development and your IWMS costs for the next 5 to 10 years.

3. IWMS Implementation

This involves configuring the software to meet the specific needs of the organization, training users to use the software, integrating the software with other existing systems and data sources, and ensuring a smooth transition to the new system.

4. IWMS Continuous Improvement

An IWMS that has just been implemented requires frequent adjustments:

– adding new users,
– refining of certain profiles
– modification of reports,
– automation of processes,
– setting up alerts to help identify incomplete or incorrect data,
– and much more…

This continuous improvement maintenance is the first condition to keep your IWMS at the top of its game at all times.

5. IWMS Health Check

– Confidence in your IWMS decreases,
– your key SMEs are frustrated,
